We have just registered an exciting opportunity for a Project Assistant to join an extremely well-established, continuously growing company on a Permanent Full-Time basis. This role will a recent graduate (or equivalent) with exposure to an office environment and a flexible, proactive and determined attitude. As the Project Assistant, you will report to the Senior Project Manager to provide project finance support as well as team, project and general administration assistance. Offer package; Position: Project Assistant Location: Abingdon Salary: £18,000 - £22,000 (dependant on experience) Hours: 09:00 - 17:30 standard hours (flex-time available), Monday to Friday Benefits: 25 days' holiday, increases with service to a maximum of 30 days Company pension scheme Life assurance Employee bonus scheme Primary duties; Team Administration Update project status reports on a regular basis, as agreed Organise weekly team meetings Attend teleconferences and other such meetings as required to note status updates and action points Attendance at internal planning meetings and take actions as requested Project Finance Issue job codes Set up project files on network Raise live job/costing model forms Sales report entries Processing PO numbers Processing/reconciling remittance advice Updating team's project financial reports Raise invoices and complete closing statements Archive project files on network once project completed Receive and file copies of all project-related supplier invoices Project Administration Order references from external websites including tracking them down Archive references as pdf files in central resource and print hard copy Obtain copyright permissions File hard copy reference in appropriate trolley and update EndNote archive Prepare hard copy manuscript submission packages (from files provided by writing team) Send all necessary files, hard copy references to freelancers Organize couriers and shipping of produced materials General Team Administration Travel liaison for the team and faculty and, if needed, arrange accommodation, request visas, currency, etc. and reconcile expenses on return Ensure team has appropriate equipment for travel (i.e. laptop recording equipment etc.) General secretarial duties to team General Company Administration Work as part of the admin team to: Answer the telephone to outside callers Receive visitors Take responsibility for specific company administration tasks as agreed Assist with organizing lunches for client visits or staff meetings Assist with other general admin duties that may be required Candidate specification; Educated to graduate level (or equivalent) - desirable Educated to A Levels or equivalent, ideally within a scientific subject Intermediate skills in Excel (would be an advantage) Familiarity and comfort in following systems and processes Very good English grammar and spelling Ability to work with numbers Adaptable/flexible Enthusiastic, Co-operative, patient and efficient Team player (very important) Able to work independently Attention to detail and accuracy (crucial) Good telephone manner If you are interested in the Project Assistant role and believe you have the suitable skills and experience to be considered, then please apply.
